Privacy policy
Last updated: 14 October 2026
Project RALPH is an early-stage healthcare workflow software project. This notice explains how we use information you choose to submit when registering your interest or sending a contact enquiry through our website.
Who is responsible?
Project RALPH is responsible for deciding how the information submitted through this website is used. For privacy questions or to exercise your rights, email hello@projectralph.co.uk.
What we collect
When you register, we ask for your name, work email address, role, practice or organisation, and how your practice currently manages staff, rotas and leave. You may also choose to provide your practice location and number of employees. We receive the information you enter in the form.
We do not ask for patient information. Please do not submit patient-identifiable or confidential clinical details.
If you use the contact form, we collect your name, email address, organisation, message and, if provided, phone number. We use these to respond to your enquiry. Contact form messages are delivered through our email service, not added to the registration interest list.
Why we use your details
We use the information to record your interest in Project RALPH, understand which types of practices may benefit, and contact you about RALPH when it is ready for roll-out or when there is a directly relevant opportunity to access the product. We will not use this sign-up to send unrelated advertising.
Our legal basis for sending registration communications is your consent when you register. We process contact enquiries on the basis of our legitimate interests in responding to messages people choose to send us, or to take steps before a contract where relevant. You can withdraw that consent at any time by emailing us. We also have a legitimate interest in administering the interest list and dealing with related enquiries, subject to your rights.
If Project RALPH is acquired
If Project RALPH is acquired or its product is transferred to another organisation, we may need to consider whether the interest list should transfer to the organisation continuing the project. We will not sell the list as a standalone marketing database, or permit it to be used for unrelated products or general marketing.
If another organisation takes over RALPH or incorporates its features into its own product, our intention is that people who registered an interest can hear directly from the organisation delivering those features when they become available. Any such contact would be limited to a continuation of RALPH or a product offering substantially the same core practice-workflow capabilities, not unrelated products or general marketing. The organisation responsible would explain who it is, how it handles your information and how to opt out. Any transfer and subsequent contact must comply with applicable UK data protection and electronic marketing law; where those rules do not allow direct contact, your details will not be used for that purpose.
Website analytics
With your permission, we use PostHog to understand how people find and navigate the website, including visits, referral sources, page views, clicks on contact links, and whether the register-interest form was opened or successfully submitted. Contact form contents are never sent to analytics. We do not send form answers, names, email addresses or practice details to PostHog. We do not use session recordings or identify individual visitors through PostHog.
Optional analytics are off until you select “Allow analytics”. You can decline or change your decision at any time using “Analytics preferences” at the bottom of the website. When allowed, PostHog may use browser storage to measure visits. PostHog processes analytics data on our behalf; data may be processed outside the UK with applicable safeguards.
Who may handle the information
We may use service providers that host the website, receive form submissions, store sign-up information or deliver requested emails. They may process your data on our behalf only as needed to run these services and subject to appropriate safeguards. We do not make your interest-list details publicly available.
Service providers may process information outside the UK. Where restricted international transfers occur, we must use an appropriate UK legal transfer mechanism or adequacy arrangement.
How long we keep it
We keep registration details only for as long as needed to manage interest in the planned roll-out. Contact messages are retained in our email service only for as long as reasonably needed to respond and maintain appropriate correspondence records. We review the list periodically and delete entries when they are no longer relevant, when the project is discontinued, or when you withdraw consent and no other lawful reason requires retention. We may retain minimal records necessary to honour an opt-out or meet legal obligations.
Your choices and rights
You may ask to see, correct or erase your information, restrict how it is used, or object to processing where applicable. Where processing is based on consent, you can withdraw it at any time without affecting previous lawful processing. Depending on the circumstances, you may also have a right to data portability.
To unsubscribe, request deletion or ask a question, email hello@projectralph.co.uk. You also have the right to complain to the UK Information Commissioner’s Office (ICO).
Changes to this notice
We may update this page if the project or how we handle data changes. If we intend to use your details for a new purpose, we will provide the relevant information before doing so and request consent where required.
